Activity Types include Phone Calls, Fax, Email, Meeting, Other and Milestone. Activities can be created manually, via Workflow or as as a result of a parameters and routing wizard.
Tokens can be added to Activity Types to represent relevant information and be replaced by actual data when the activity is created; saving time and improving accuracy of the referenced information.
Here’s an example, of an email activity that references the related transaction type and document number in the subject and body of the message
Here are the steps to create this Activity Type
Add a new Email Activity e.g. Email with Document No.
Set the status of the Activity to Active.
Set Activity Type to Email and direction to Outbound.
The Relates To can be left as Any Record
In the Default Subject/Message field, click the ellipsis to open the default Subject/Message screen.
When you would like to add a token to the text right click and select Add Token. The list of available tokens will be displayed.
In this example, the Subject should refer to the type of document and the document number so the text will be Regarding {Regarding Type} {DocumentNo} and the Message will use the same information plus the Contact Name.
When you create an Activity using the Activity Type, the tokens are updated with the applicable data.
